Buying used or refurbished can absolutely save money, but the two terms are not interchangeable, and the difference between them often decides whether you get a bargain or a headache. Here is how to shop pre-owned copiers without getting burned.

Used versus refurbished: the key difference

A used copier is sold as-is. It is a machine that was previously owned, with whatever wear and history it carries, and usually little or no reconditioning. A refurbished copier has been inspected, repaired, cleaned, and tested by a technician, with worn parts replaced and the machine restored to reliable working order. Both cost less than new, but refurbished sits in the sweet spot: meaningfully cheaper than new, yet far more dependable than a bare used unit.

Where pre-owned copiers come from

Many of the best refurbished machines are off-lease copiers. When a business finishes a lease and upgrades, the returned equipment, often well-maintained and only a few years old, goes back to the dealer.   3. Warranty and service. The single most important factor. A pre-owned machine without service support is a gamble; one backed by a service plan is an asset.
  4. Supplies and support availability. Make sure toner and parts for the model are still easy to get, so you are not stranded later.
  5. Data security. Used copiers store images on internal drives. Confirm the drive was wiped before resale.

When pre-owned is the right call, and when it is not

A refurbished or off-lease copier is a smart choice when you want to control upfront cost, need a reliable workhorse without the latest features, or are equipping a secondary location. It is the wrong call when you need cutting-edge capabilities, very high volume with maximum uptime, or the predictable all-in budgeting that a lease provides. In many cases the better question is not used versus new, but buy versus lease, because a lease can put newer equipment in your office with service built in for a manageable monthly payment.
